Intellectual Property Guidelines

A. GRC's Interests in the GRM Papers

  1. As many papers as possible are to be published in edited volumes (first choice) or special issues of academic journals (second choice) or, for those which cannot be included in these, published individually in academic journals as working papers (with GRC or elsewhere) (third choice). Ideally, one hundred percent of papers presented at GRM will be published.
  2. All publishable papers are to be published as soon as possible after GRM 2026.
  3. GRCC (Gulf Research Centre Cambridge)/GRC/GRM is fully acknowledged:
    • Edited volumes: GRCC copyright on the entire publication; GRCC logo on the cover of the publication; GRC "institutional profile page"; Workshop/Gulf Research Meeting acknowledgments
    • Special issue of a journal: GRCC copyright in the single papers; workshop/Gulf Research Meeting acknowledgments
    • Individual papers: GRCC copyright; workshop/Gulf Research Meeting acknowledgements
  4. GRCC is part of the agreement between the co-editors and the publishers of edited volumes.
  5. GRCC has the right to publish papers as presented at GRM in case they are not published elsewhere, after consultation with the authors.
  6. GRCC has the right to translate the papers into Arabic and publish the Arabic versions.
  7. GRCC copyright of the English version will be returned to the author(s) if the paper cannot be published in the edited volume proposed by the workshop directors and if this is necessary for the paper to be published in a journal or working paper.

B. GRC's Copyright Explained

  1. GRCC organizes GRM and acts as the medium between authors and directors, directly and indirectly, to write, present, discuss, and improve their work with the aim that eventually the fruits of all of this will be distributed among a wider audience. Anything otherwise would contradict GRM's objectives and the GRC credo "Knowledge for All."
  2. GRCC claims the copyright of the papers submitted to the GRM to ensure that the above-mentioned points can be achieved to the fullest extent, including making some papers available to Arabic reading audiences.
  3. In the case of edited volumes, GRCC will be part of the agreement between co-editors and publishers maintaining the copyright over the entire publication.
  4. In case of papers published jointly in special issues of journals, GRCC will maintain the copyright over the single papers, unless this impedes the moving forward of the publication.
  5. In the case of papers published individually in journals or as working papers, GRCC will maintain the copyright unless this impedes the publication.
  6. Authors can ask GRCC to return the English version's copyright to them if it is necessary to publish the paper individually in a journal or as a working paper. In doing so, they are asked to indicate where the paper will be published and acknowledge GRCC, GRC, and GRM.

C. GRCC Intellectual Property Guidelines

1. Acceptance

By submitting a paper (hereinafter Work) for the Gulf Research Meeting, the author (hereinafter Author) accepts and agrees to abide by all the terms and conditions of this agreement (hereinafter Agreement).

2. Ownership

The Author warrants that she/he has written the Work and is the sole legal and beneficial owner of all rights in the Work, and further, the Author warrants that the Work is original, and publication of the Work does not infringe upon any intellectual property rights or any other rights of any person or third party whatsoever.

3. Professional

The Author warrants that the Work is professionally written and footnoted, with all external sources listed and appropriately referenced; all statements of fact and information contained in the Work are to the best knowledge of the Author true, accurate, and complete and are substantiated by adequate research, and where necessary, the required permission to quote other sources or include third party materials has been obtained by the Author.

4. Originality

The Author warrants that no part of the Work has been published previously in any form in any part of the world and that the Work has not been accepted for publication by any third party and will not be submitted for publication to any third party before or after the Gulf Research Meeting 2026 takes place without the express written permission of the Gulf Research Centre Cambridge.

5. Accuracy/Authenticity/Correctness

The Author warrants that the Work does not, without attributing the source, report as fact, the opinion of any third party or any information whose accuracy or authenticity the Author should have reasonable cause to doubt, or which was obtained directly or indirectly in breach of confidence. The Author warrants that the Work does not contain any matter or statements which are libellous, defamatory, scandalous, blasphemous, or obscene.

6. Indemnity

The Author agrees to indemnify and keep the GRCC and its partner organisations Gulf Research Center and Gulf Research Centre Foundation indemnified, against all actions, claims, proceedings costs and damages and all legal costs and other expenses arising out of any breach of the warranties and/or undertakings in this Agreement or out of any claims by a third party based on any facts which if substantiated would constitute such a breach.

7. Copyright

The Author assigns to the Gulf Research Centre Cambridge with full title guarantee all the copyrights in the Work as soon as the Work is created, in all countries of the world (and/or any similar rights in countries where such rights exist) for the whole term of such copyright including any extensions or renewals of such rights to hold unto the GRCC absolutely. The GRCC shall have the right to publish and licence publication of the Work throughout the world in all editions, forms, and media (including but not limited to hardcopy and electronic publishing) and in all languages. Furthermore, the GRCC shall have the right to distribute or licence distribution of the Work throughout the world. The Author grants the GRCC the right to use the Author's name and biography in connection with any dissemination or promotion of the Work and to make such other promotional use of the Work as the GRCC or its licensees may determine.

If in the course of editing or formatting the paper for publication, errors or other problems are detected in the Work, the GRCC will make all reasonable efforts to contact the Author in order to correct errors and resolve problems. For its communications with the Author, the GRCC will use exclusively the e-mail address provided by the Author at the time of submission of the Work. In case the GRCC is not able to contact the Author or she/he is not able to correct the errors/resolve the problems, the GRCC retains the option to do so and the Author hereby agrees to and authorizes such action under these circumstances.

The GRCC will make all reasonable efforts to inform the Author where and when the Work has been published under this Agreement and provide the electronic link. In the case of a hardcopy publication, the GRCC will make all reasonable efforts to provide the Author with an offprint of the Work or a copy of the entire publication. The Author acknowledges and agrees that she/he will not receive any payment for the Work from the GRCC within the framework of this Agreement.

In cases where requirements of other publishers wishing to publish the Work or altered versions of the Work conflict with this Agreement, the GRCC requests the Author to contact the GRCC in writing, explaining the situation, and the GRCC will undertake to address the situation to facilitate publication as requested by the Author. All Authors whose Work is subsequently published by a non-GRCC publisher are requested to send an electronic and/or paper copy of the publication to the GRCC.

8. Copyright Transfer

Authors can request the GRCC to transfer the copyright back to them so that they can publish elsewhere by writing to .

When requesting to have the copyright returned, authors should include the details of where they plan to publish.

Authors should also agree to use the following acknowledgment text:

"Paper presented at the sixteenth Gulf Research Meeting (GRM), Cambridge, July 21-23, 2026, organised by the Gulf Research Centre Cambridge. Copyright of the original paper © Gulf Research Centre Cambridge 2026."
